Privacy Policy

Crucibl exists to turn your business data into answers for you — and only for you. This policy explains what we collect, how it is processed, and the commitments we make about it.

Your data stays yours

The files you import — Tally exports, Excel sheets, connector syncs — and every record derived from them belong to your company. Your data is never shared with other Crucibl customers, never sold, and never used to build products for anyone else. Access inside your workspace is governed by the roles and permissions your admin sets.

Tenant isolation

Every record in Crucibl is scoped to your company. Other tenants cannot query, view, or otherwise reach your data — isolation is enforced at the service layer on every request, not as an afterthought.

Enterprise AI processing

Crucibl’s AI features (data mapping, the Company Brain, the daily brief) run on enterprise-grade AI providers under agreements that prohibit training on your data. Your records are sent to these providers only to answer your requests, and are not retained by them beyond processing.

Connected inboxes & WhatsApp

If you connect an email mailbox (Gmail, Microsoft 365) or link a WhatsApp account, Crucibl reads your recent message history for one purpose: to place conversations with the people and companies you do business with onto the right CRM timelines. We request read-only access to email; we never send messages on your behalf.

Nothing is imported until you choose. After you connect, you select which contacts to include. Only conversations with the contacts you approve are stored in Crucibl. Messages with everyone else are discarded after processing and are not retained.

To help you sort business contacts from personal ones, message content from undecided conversations may be analysed by our enterprise AI provider under agreements that prohibit training on your data and retaining it beyond processing. Personal conversations are used only to filter them out of your suggestions — they are never stored on a CRM timeline.

You are responsible for ensuring you have the right to connect the account and process the conversations it contains. You can disconnect a mailbox or WhatsApp link at any time, and request deletion of imported messages, by contacting privacy@crucibl.com or removing the connection in Settings. WhatsApp linking uses an unofficial connection to your personal account; it is provided as-is and may be affected by changes outside our control.

Anonymized analytics

We measure product usage (feature adoption, performance, errors) in anonymized, aggregated form to improve Crucibl. Analytics never include your customer records, financial figures, or file contents.

Security

Data is encrypted in transit, sessions are sealed server-side, and access to production systems is restricted and audited. If we ever become aware of a breach affecting your data, we will notify your admin without undue delay.

Retention and deletion

Your data is retained while your workspace is active. If you close your account, your company’s data is deleted from production systems within 30 days. You can request export or deletion at any time by contacting your Crucibl representative.
